Privacy and outbound communication
RichBinder does not send your documents to any server automatically. There is no document upload and no usage tracking.
What we commit to

Where your documents live
- Original documents
- The actual folders you choose (local, NAS, or a sync folder)
- Scanned images
- The same folders — nothing is copied into the app
- Text read by OCR
- This device's database. Used only for search
- Extracted fields (party, amount, and so on)
- This device's database, and the file itself if you enable that option
- Diagnostic logs
- This device. You decide whether to send them — nothing is sent automatically
What is sent to our servers
The following is exchanged automatically, without any action on your part, during licence activation and update checks.
- Licence ID or account ID
- A hash of the device identifier (the original hardware information cannot be recovered from it)
- Installation code (a random number created at install time — unrelated to your hardware or account)
- Device name (a value you choose; if you do not set one, the device identifier above is used)
- App version, OS version, platform (windows-x64)
- Activation and deactivation times
- Trial start and end times
- Update entitlement expiry date
What is sent when you choose to send it
The following is transmitted only when you submit an enquiry, an improvement request or an error report from within the application. Nothing leaves your device before you press [Send].
- The enquiry itself (the text you write)
- A reply address (optional — your enquiry is accepted even if you leave it blank)
- Time of submission, IP address, application version, installation type
- Diagnostic information — only if you turn on "Attach diagnostic information and activity log": application, OS and runtime versions, CPU model, component installation status, licence status, names of connected scanner devices
- The last part of the activity log the application has written — only with the same setting turned on. It may contain paths of files you have worked with, and you can review the full content on screen before sending
- There is no facility for attaching documents, images or screenshots to an enquiry
What is never sent
The following is sent neither automatically nor through the enquiry feature. Text you type into the enquiry itself, however, is transmitted exactly as you write it.
- Original documents and scanned images
- File names, file paths, folder structure (the activity log is an exception when you turn on the diagnostic attachment above)
- OCR text
- Extracted fields such as party, amount, or date
- Form samples and document type settings
- Search terms
Information written into the files themselves
Fields for which you turn on Tag in a document type are written into the file itself. This is so the information travels with the file to another device — which also means that when you send the file elsewhere, those values go with it. Turn the setting off for sensitive fields such as patient names or national ID numbers; values already written can be removed from the file information panel with Clear business fields.
This website and international transfer
This website (richbinder.com) uses Google Analytics (GA4) to measure visits. It runs only if you consent in the banner at the bottom of the screen; without consent it does not run at all. Declining does not affect downloads or any other use of the service.

Personally identifying information such as your name or email address is never sent to this analytics tool. Personal data relating to accounts and payments is handled under the Rich unified account privacy policy referred to above.
